When Should You Book Your Builders Clean? A Scheduling Guide for Builders

Why scheduling matters


A builders clean booked too early creates rework. Trades return after the clean and the site dirty again. The builder pays twice.

The right scheduling sits between the two. This article covers when to book for residential and commercial projects and what to lock in to make the program work.

Residential scheduling: the basic timeline


For a standard residential handover:

Day -10 to -7 from handover. All trades finishing. Last painters, joiners, plumbers, electricians on site.

Day -7 to -5 from handover. Builders clean. Site is structurally complete. All trades off site or scheduled to be off by clean day.

Day -5 to -2 from handover. Defect rectification. Trades return for touch-ups based on the cleaner’s defect walk-through. Plumber, painter, joiner, electrician on site for short visits.

Day -1 from handover. Optional sparkle clean. Final polish to remove fingerprints and dust accumulated during defect rectification.

Day 0 = handover day. Client walk-through. Settlement.

This timeline assumes a 250m² project home. Custom homes need more time for the cleaner and more time for defect rectification. Larger custom homes (500m²+) often need 10 to 14 days from clean start to handover.

 

When to book the clean


Book the clean as soon as the program is locked. For most Build Clean residential bookings:

3 to 5 working days lead time is standard.
24 hours notice is possible when capacity allows.
1 to 2 weeks notice is preferred for large custom homes.

Larger commercial projects (schools, healthcare, multi-residential) need 2 to 8 weeks lead time depending on scope.

What to lock in before booking


Five things to confirm before the booking is firm:

1. All trades off site by clean day. The cleaner can’t work where trades are working. If trades will still be on site (painters touching up, electricians installing fittings), schedule the clean after they’re done. Working around trades takes longer and creates risk.

2. Power, water, and lighting all on. Cleaners need power for commercial HEPA vacuums and floor equipment. Water for mopping. Lighting to inspect surfaces properly. All three need to be live at clean time.

3. All rooms accessible. Locked rooms or restricted areas delay the walk-through and create defect risk. All keys need to be available.

4. Site cleared of major debris. A site with piles of off-cuts, packaging, and construction waste needs to be cleared before cleaning starts. The principal contractor’s site labourer handles this, or it’s added to the clean as variable scope at the hourly rate (industry rates sit between $70 and $90 per hour).

5. Finish schedule confirmed. The cleaner needs to know what finishes are on site (natural stone, polished concrete, anodised aluminium, etc.) to bring the right products. Send the finish schedule with the quote request.

Common scheduling mistakes

Booking before the site is ready. Builders book a clean date based on the program then push trades back. The cleaner turns up to a site still under construction. The job has to be rescheduled.

Booking too late. Builders leave the cleaner to the last minute. By the time they call, capacity is gone and the handover slips. Larger builders avoid this by locking annual capacity with their preferred contractor.

Skipping the defect window. Builders book the clean for the day before handover with no buffer. When trades have to return to fix defects, the handover slips and the client sees the rework.

Forgetting touch-up time. Defects identified during the clean need rectification time. A custom home with 30 defects can take 2 to 4 days for trades to address.

Not specifying the scope. Builders book “a clean” without specifying the scope. The contractor quotes one scope, the builder expects another. At handover the scope mismatch becomes a problem.

Commercial scheduling


Commercial projects have longer lead times and more dependencies.

School projects. Tied to school holidays for handover. Book 4 to 8 weeks ahead. Handover often falls in a narrow window between trades finishing and school resuming.

Healthcare and aged care. Phased handovers with infection control requirements. Book 4 to 8 weeks ahead per phase.

Multi-residential apartments. Handovers in batches over weeks. Book the first batch 4 weeks ahead and confirm subsequent batches as the program firms.

Hotels and hospitality. Phased openings with strict deadlines. Book 6 to 12 weeks ahead for major commissioning.

Defence and government. Often need security clearances for operators. Book 8 to 12 weeks ahead to allow clearance processing.

Retail fit-outs. Tied to lease commencement and trading dates. Book 2 to 4 weeks ahead.
